This page explains how Extra SAS uses the personal data collected on the hello-extra.com website, in its advertising forms on Facebook and Instagram, and when you request a demo. It does not cover the use of the Extra application itself.

1. Who is responsible

The data controller is Extra SAS. For any question about your data, write to us at support@hello-extra.com.

2. The data collected

Meta advertising form (Facebook, Instagram)

When you fill in our form in an ad, we receive the information you enter in it: name, email address, phone number, company, line of business, the task you would like to hand over and the expected timeframe. Required fields are marked in the form; the others are optional.

Meta may ask you to confirm your phone number with a code sent by text message. This verification is handled by Meta: we do not receive this code.

Demo request

When you book a demo, the calendar is provided by Calendly. There you enter your name, your email address, the time slot you chose and, if you wish, what you would like to see during the call. If you arrive from a campaign, its identifiers (“utm” parameters, such as the campaign name) come with the booking.

Contacting us

If you write to us, we receive your message and your contact details.

Use of the site

Our host processes technical data (IP address, browser type, pages requested) to display the site and protect it. Only with your consent, we also measure the site’s audience and the effectiveness of our ads: see the section Cookies and your choices.

3. Why, and on what basis

  • Responding to your request (demo, information, getting in touch): these are steps taken at your request prior to a possible contract.
  • Providing useful sales follow-up after your request, related to your professional activity: this is our legitimate interest. You can object to it at any time, simply, by writing to us.
  • Sending you other marketing communications, unrelated to your request: only with your separate consent, never required to get a demo, and which you can withdraw at any time.
  • Measuring the site’s audience and the effectiveness of our ads: only with your consent, given separately for each purpose.
  • Running and securing the site: this is our legitimate interest.

4. How long

  • Requests and prospects: 3 years at most from collection or from your last contact with us (for example a reply or a new request). At the end of this period, the data is deleted or anonymized during our regular reviews; this deletion is not yet automatic.
  • If you object to sales follow-up: we keep only what is necessary to respect your choice and not contact you again.
  • Analytics: Google Analytics cookies and campaign source kept for 90 days at most.
  • Ad measurement: Meta cookies (_fbp, _fbc) kept for 90 days at most.
  • Your choices about these measurements: kept for 6 months in your browser, then asked again.

5. Who has access

Only the people on the Extra team who need it to handle your request have access to it. We also use service providers, each for its own part:

6. Transfers outside the European Union

Some of these providers, or their subcontractors, may process data outside the European Union, notably in the United States. These transfers rely on the safeguards provided by each provider, such as the EU–US Data Privacy Framework when the provider has joined it, or the European Commission’s standard contractual clauses. You can write to us to find out more.

7. Cookies and your choices

Nothing is measured without your consent. The site offers you two separate choices, off by default:

  • Analytics (Google Analytics): pages viewed, clicks on the demo buttons, demos booked and campaign source.
  • Ad measurement (Meta): knowing which ads lead to a visit or to a booked demo.

In both cases, we send neither your name, nor your email address, nor your answers. Refusing is as easy as accepting, and booking a demo works in every case. The Calendly calendar only loads if you open the booking; Calendly then asks you for its own cookie choices.

8. Your rights

At any time, you can:

  • access your data and get a copy of it;
  • have it corrected or erased;
  • ask for its use to be restricted;
  • get it back in a common format, when its use is based on your consent or on your request;
  • object to its use based on our legitimate interest, and always to sales follow-up, without having to give a reason;
  • withdraw your consent, without affecting what was done before;
  • tell us what you would like to happen to your data after your death.

Write to us at support@hello-extra.com. We reply within one month, and may ask you to confirm your identity if necessary.

If you believe your rights are not being respected, you can lodge a complaint with the CNIL: www.cnil.fr/fr/plaintes.

9. Changes

We will update this page if our practices change. The date at the top of the page shows the latest version.
