AI for hair salons: booking, reminders, Instagram, reviews

The short answer

For a hair salon, AI is most useful for keeping the book full (reminders, rebooking lapsed clients, answering requests while you work), keeping Instagram going and replying to reviews. It does not replace the consultation or the craft. Reminders are the best measured gain: a Cochrane review found text reminders raise attendance from 67.8% to 78.6%.

We make Extra, an AI agent platform, so this article is written by an interested party. Facts about other tools and about the law come from the sources listed at the bottom, as of the date shown.

What is AI useful for in a hair salon?

In a hair salon, AI is useful for three things: keeping the book full (answering requests, sending reminders, rebooking clients who have not come back), keeping Instagram going without losing your evenings, and replying to reviews. It does not cut, it does not judge a color better than your eye, and it does not replace the relationship in the chair.

The salon problem is almost always the same: your hands are busy when the phone rings. A booth renter or a two-chair salon cannot walk away from a color to pick up. An AI agent catches those requests and does the desk work nobody wants to do at night.

Which salon tasks should you hand to AI?

TaskWhat AI doesWhat you keep
BookingAnswers requests by phone or email, offers a slot, sends the reminder the day beforeThe length of each service, special cases (bridal, color correction)
InstagramWrites captions, suggests a posting calendar, adapts copy for FacebookPhotos of your real work, with the client’s OK
RebookingDrafts a message for clients who have not been back in 8 to 10 weeksThe client list and their permission to be contacted
Google reviewsDrafts a personal reply to each reviewNegative reviews: you pick the tone and the gesture
Retail productsWrites product blurbs and how-to-use tipsClaims about results, checked against the brand

How do you fill your book with AI?

The clearest gain comes from reminders and rebooking, not from complicated tech. A Cochrane review of eight randomized trials (6,615 participants) found attendance of 78.6% with text reminders against 67.8% with none. For a salon, a no-show is a slot you almost never resell at the last minute.

  1. Give the agent the real length of each service: a men’s cut is not a full balayage. Without those times, it will book badly.
  2. Turn on the day-before reminder, with an easy way to move the appointment.
  3. Rebook on rhythm: about eight weeks after a cut, six after color. The message offers two specific times, not a vague “come see us.”
  4. Keep a waitlist: when a slot opens, the agent texts clients who wanted an earlier time.

Worked example: a salon doing 180 appointments a month at $70 on average and losing 6% to no-shows gives up about $756 a month. Halving that rate with reminders and a waitlist brings back close to $380 a month.

How do you keep Instagram going with AI when you are behind the chair all day?

The method that lasts: you take the photos, AI writes the rest. One hour a week is enough if you follow the same routine.

  • Shoot every result you are proud of, before and after, with the client’s permission.
  • Send the photos to the agent with three words: service, time, product used.
  • The agent writes captions and local hashtags and suggests the posting order for the week.
  • You review and approve in one pass.

Skip AI-generated hairstyle photos: showing a result you did not create misleads clients, and they will notice when they leave your chair. Our post on posting on Instagram consistently covers the routine in detail.

How many reviews does a salon need, and how do you get them?

More than you think, and recent. In BrightLocal’s Local Consumer Review Survey 2026, 47% of consumers said they would not use a business with fewer than 20 reviews, and 74% only care about reviews from the last three months. Ask when the client is looking in the mirror and smiling, then text a direct review link that evening.

Never reward a review with a discount or a free product. Under the FTC’s consumer review rule (16 CFR 465.4), offering an incentive for a review that expresses a particular sentiment, positive or negative, is a violation, and Google’s own policy removes incentivized reviews of any kind. The full method is in how to get more Google reviews.

What does AI get wrong for salons?

  • Consultations: AI cannot see damaged hair. A bleach request on previously colored hair should come to you.
  • Variable service times: a color correction can run two hours over; the agent should flag it, not book it blind.
  • Voice: without examples of your past messages, AI writes like a national chain, not like your salon.
  • Client data: give it only what it needs (first name, phone, last service).

How does Extra help a hair salon?

Extra (hello-extra.com), the AI agent platform for small businesses, splits this work across agents. Jade, the marketing agent, writes your Instagram and Facebook posts and prepares visuals from your photos. Hugo answers the phone, says he is an AI, and books appointments in your Google Calendar. Kelly drafts replies to the reviews you pass along.

You choose what each agent may post or send without asking you. The plan is $99 per month for all eight agents (see pricing). Extra is not salon POS or online booking software: if you need inventory and client cards, keep your salon software, and the agents work next to it.

Which messages should you send to rebook and ask for reviews?

Short, personal messages with one clear action. Here are three templates the agent can fill from your calendar.

Rebooking a lapsed client: “Hi Jess, it’s been nine weeks since your last cut. I have two openings Thursday, 10 a.m. or 5:30 p.m. Does either work? Sarah at Studio Nine”

Review request that evening: “Thanks for coming in today! If you love your color, a Google review helps us a lot: [link]. Have a great night.”

Opened slot: “A spot just opened tomorrow at 2 p.m. You wanted to come in sooner. Should I hold it for you?”

  • Sign with your name and the salon’s, and say an AI assistant drafts messages if that is the case.
  • Only text clients who agreed to hear from you; marketing texts need consent under federal and state rules.
  • One rebooking nudge per cycle, not three.

Each month, track the return rate of rebooked clients, the no-show rate and the number of new reviews. Those three numbers tell you whether AI is making you money.

Checklist before you start

  • The real length of every service, including processing time.
  • A day-before reminder with an easy reschedule option.
  • A list of clients who agreed to receive texts.
  • Photo permission from every client you post.
  • No discounts or freebies tied to reviews.
  • A rule that color corrections and bleach requests come to you.

Frequently asked questions

Can AI recommend a cut or a color?

It can suggest ideas from a photo, but the recommendation depends on hair condition and your skill. Keep it for the appointment.

Should clients know an AI is answering?

Yes. On the phone, the agent says so in the first sentence. Clients are fine with an AI assistant; they are not fine with being fooled.

Where should you start?

With reminders and rebooking lapsed clients: that is where the money leaks. For the bigger picture, read what AI agents do for a small business.
