How to use AI to create invoices (and when not to)

The short answer

You can use AI to draft invoices: no federal rule cares which tool wrote one, only that it is accurate and backed by your records. But a chat assistant does not keep a reliable number sequence or calculate sales tax by jurisdiction, so the number, amounts and sending should come from your invoicing software. The IRS says to keep invoices and supporting records for at least 3 years in most cases.

We make Extra, an AI agent platform, so this article is written by an interested party. Facts about other tools and about the law come from the sources listed at the bottom, as of the date shown.

Can you use AI to create invoices?

Yes. No federal rule says who or what drafts an invoice; what matters is that it is accurate, numbered consistently and backed by your records. The problem is practical. A chat assistant does not keep a reliable invoice number sequence, can get sales tax math wrong, and knows nothing about your real payments. So AI is useful for drafting and checking invoices, not for replacing your invoicing or accounting software.

Unlike France or Mexico, the US has no general e-invoicing mandate for private businesses, so a clean PDF invoice is still normal. That makes it tempting to let AI do it all. Do not: the IRS cares about your books, and your books start with your invoices.

What should a small business invoice include?

There is no single federal list, but a professional invoice that holds up with customers and your accountant includes:

  • your business name, address and contact details;
  • a unique invoice number that follows a sequence, and the invoice date;
  • the customer’s name and billing address, and their PO number if they use one;
  • each product or service: description, quantity, rate and line total;
  • subtotal, sales tax where it applies (rules vary by state and by what you sell), and total due;
  • payment terms (Net 15, Net 30), due date, accepted payment methods and any late fee you agreed on in advance.

The IRS lists invoices among the supporting documents for gross receipts that you should keep, alongside deposit slips, receipts and bank records.

What can AI do, and what should your software do?

TaskAI (assistant or agent)Invoicing or accounting software
Write clear line item descriptionsYes, very usefulPossible, by hand
Turn a signed estimate into a draft invoiceYesYes, often automatic
Check for missing detailsYes, as a reviewerYes, by design
Keep a continuous invoice number sequenceNo: a chat does not hold a reliable sequenceYes
Calculate sales tax by jurisdictionNot reliablyYes, with tax settings or an add-on
Follow up on late invoicesYes, from your invoice listSometimes, depending on the tool

Rule of thumb: the invoice number, the amounts and the sending come from your software. AI writes around them (descriptions, reminders, cover emails) and proofreads.

How do you use AI to prepare an invoice, step by step?

  1. Give the AI the signed estimate or your job notes (“replaced 50-gallon water heater, 3 hours labor, haul-away”).
  2. Ask for clear line items: description, quantity, unit. Specific descriptions prevent disputes.
  3. Enter the lines in your software, which assigns the number and calculates tax.
  4. Have the AI proofread the PDF against your checklist: it quickly spots a missing due date or PO number.
  5. Send from the software, so the payment link and the record stay connected.
  6. Schedule the reminder: AI drafts a polite follow-up for 7 days past due.

How long should you keep invoices, and what does the IRS see?

Keep invoices and the records behind them for at least 3 years in most cases, according to the IRS. Some situations need longer: 6 years if you did not report income you should have reported and it is more than 25% of the gross income on your return, and 7 years for a bad debt deduction. Employment tax records need at least 4 years.

Payment platforms also report to the IRS. A payment app or online marketplace must send a Form 1099-K when the payments you received for goods or services total over $20,000 in more than 200 transactions, and it may send one for lower amounts. Your invoices are how you reconcile those forms with what you actually earned.

What mistakes does AI make on invoices?

  • It invents an invoice number or reuses the one from the example, breaking your sequence.
  • It applies sales tax wrongly, for instance taxing labor that your state exempts, or missing a local rate.
  • It fills gaps with plausible but wrong details: a customer’s address, a PO number.
  • It adds terms you never agreed to, like a late fee that is not in your contract.

How does Extra help with invoicing?

Extra (hello-extra.com), the AI agent platform for small businesses, does not replace your invoicing or accounting software. Oscar, the finance agent, works from the figures you send him: he spots late invoices, writes a reminder suited to each customer, matches payments to invoices and builds a view of your cash flow. He can also proofread an invoice before it goes out and flag a missing detail.

The plan is $99 per month for all eight agents (see pricing). Next steps: our guide to following up on unpaid invoices and how to match payments to invoices.

Which prompts should you give AI for invoicing?

Three prompts cover most of the useful work, without ever handing the AI the invoice number or the sending.

  • Line items: “From this signed estimate, write clear invoice line items: specific description, quantity, unit. Do not calculate amounts and do not add an invoice number.”
  • Proofread: “Check this invoice for: business name and contact, invoice number and date, customer and billing address, PO number if any, line items, subtotal, tax, total, payment terms and due date. List what is missing without inventing anything.”
  • Reminder: “Write a polite reminder for invoice 2026-118 for $1,450, due October 15. Friendly tone, restate the due date, offer a quick call if there is a problem.”

The principle is the same in all three: AI works on a document that already exists in your software. It never creates a parallel one.

If you work with a bookkeeper or CPA, show them the proofread prompt. They will often add details specific to your trade, like a sales tax exemption certificate number for a reseller or the license number some states require contractors to show.

One more habit pays off: reconcile monthly. Match each paid invoice to a bank deposit, and each 1099-K or 1099-NEC you receive to your invoice list. An agent can draft that match; you confirm the gaps.

Checklist for AI-assisted invoicing

  • Invoice numbers come only from your software.
  • Sales tax settings set per state and service, reviewed once by a pro.
  • AI used for descriptions, proofreading and reminders only.
  • Every invoice saved with its supporting records for at least 3 years.
  • Monthly match of invoices to deposits and 1099 forms.

Frequently asked questions

Is an invoice made with ChatGPT valid?

Yes, if the details are correct and the number fits your sequence. The risk is not validity, it is errors and a broken paper trail. Enter it in your software so your books match.

Can AI figure out my sales tax?

It can explain the general rules, but rates and what is taxable vary by state and city. Use your software’s tax settings, and check with your accountant or your state revenue department.

Should freelancers invoice differently?

The same basics apply. Freelancers should also track payments for estimated taxes; see our guide to AI for freelancers.
